ClassPin Privacy Policy

ClassPin ("ClassPin," "we," "us," or "our") respects the privacy of our users and their families.

This Privacy Policy explains how ClassPin collects, uses, processes, stores, and discloses information when you use the ClassPin website, web application, and related services (collectively, the "Service").

1. Information We Collect

The information we collect depends on how you use ClassPin.

A. Account and Profile Information

When you create or maintain a ClassPin account, we may collect information such as:

  • first and last name
  • email address
  • authentication information
  • account settings
  • subscription status; and
  • information associated with your ClassPin account.

Authentication credentials, including passwords, are processed through our authentication provider and are not intended to be stored by ClassPin in readable form.

B. Child and Family Information

ClassPin allows adult users to organize information relating to children or family members.

Depending on the information you choose to provide, this may include:

  • a child's name or nickname
  • school or educational information
  • grade or similar profile information; and
  • other information you voluntarily associate with a child profile.

You should provide only information that is reasonably necessary to use the Service.

C. Uploaded Documents and Images

ClassPin allows users to photograph, upload, scan, or otherwise submit documents and information for organization and processing.

Submitted content may include, for example:

  • school notices
  • schedules and calendars
  • permission slips
  • activity or sports information
  • appointment information
  • flyers
  • forms
  • photographs; and
  • other documents or materials selected by the user.

These materials may contain personal information relating to you, your children, family members, teachers, schools, healthcare providers, organizations, or other individuals.

You are responsible for ensuring that you have the right or appropriate authorization to submit content to ClassPin.

D. Information Extracted From Documents

ClassPin uses automated technologies to identify and organize information contained in submitted content.

Depending on the document, this may include:

  • titles and summaries
  • dates and deadlines
  • events and appointments
  • tasks and to-do items
  • student or child names
  • teacher names
  • school or organization names
  • locations
  • payment amounts
  • supplies or materials
  • categories; and
  • other information relevant to organizing the document.

E. QR Codes and Links

If you scan a QR code or submit a link, ClassPin may process the destination URL and retrieve information from the linked webpage to help organize relevant information.

The URL itself may contain identifiers or other information included by the organization that created the link.

F. Subscription and Payment Information

Paid subscriptions are processed through third-party payment providers such as Stripe.

ClassPin may maintain information associated with your subscription, such as:

  • payment-provider customer identifiers
  • subscription identifiers
  • subscription status
  • selected pricing information; and
  • billing-period information.

Payment-card information is entered through Stripe-hosted payment pages. ClassPin does not directly receive or store your full payment-card number or card security code.

G. Technical and Usage Information

When you use ClassPin, we and our service providers may automatically receive or generate technical and operational information, such as:

  • IP address
  • browser or device information
  • operating system information
  • timestamps
  • request and error logs
  • security events
  • service usage information; and
  • diagnostic and performance information.

Some of this information may be collected by infrastructure, hosting, security, or other service providers rather than directly by ClassPin.

2. How We Use Information

We may use information collected through ClassPin to:

  • provide and operate the Service
  • create and maintain user accounts
  • authenticate users
  • store and organize submitted documents
  • process documents using artificial intelligence and automated technologies
  • extract and organize dates, tasks, events, and other information
  • associate information with user-selected child profiles
  • provide calendars, task lists, and organizational features
  • process and manage subscriptions
  • provide customer support
  • diagnose and troubleshoot problems
  • monitor the reliability and performance of the Service
  • protect ClassPin and its users
  • detect, investigate, and prevent fraud, misuse, and security incidents
  • maintain and improve the Service
  • comply with legal obligations; and
  • enforce our Terms of Service and other policies.

3. Artificial Intelligence and Automated Processing

ClassPin uses artificial intelligence and automated technologies to analyze and organize information submitted by users.

When you submit a document for AI processing, the document image, document text, or information contained in the document may be transmitted to third-party technology providers that assist us in performing automated analysis.

This means personal information appearing within a submitted document — including information concerning a child — may be processed by these providers when necessary to perform the requested ClassPin functionality.

ClassPin currently uses technology infrastructure provided by Lovable to facilitate AI processing, which may involve third-party AI and technology providers.

Third-party providers may maintain operational, security, diagnostic, or other records in accordance with their applicable terms, settings, and retention practices.

ClassPin does not guarantee that information submitted for AI processing will be immediately or completely removed from all third-party systems when it is deleted from ClassPin.

AI-generated and AI-extracted information may be inaccurate, incomplete, or incorrectly interpreted. Users should review important information against the original source before relying on it.

4. QR Code and Web Content Processing

When ClassPin processes a QR code or webpage link, we may use third-party services to retrieve content from the destination webpage.

ClassPin currently uses Firecrawl functionality for certain QR code or linked-webpage processing.

For this process, ClassPin sends the destination URL for retrieval. ClassPin does not intentionally send your separately uploaded document image or ClassPin's previously extracted document information to Firecrawl as part of this URL-retrieval process.

A URL itself may contain information or identifiers placed there by the organization that created the link.

5. How We Disclose Information

We may disclose information to service providers and technology partners that perform services on our behalf or help us operate ClassPin.

These services may include:

hosting and application infrastructure; database and file storage; authentication; artificial intelligence and automated processing; webpage and QR-link processing; payment and subscription processing; security; logging and error monitoring; and other technical infrastructure necessary to operate the Service.

Our current technology providers may include services provided by Lovable, Supabase, Google or other AI model providers or routing services, Firecrawl, and Stripe, depending on the functionality used.

Because technology providers and subprocessors may change over time, this Policy does not necessarily identify every infrastructure subprocessor involved in delivering the Service.

We may also disclose information when reasonably necessary:

to comply with applicable law, regulation, subpoena, court order, or other valid legal process; to investigate or prevent fraud, misuse, security incidents, or unlawful activity; to protect the rights, safety, property, or security of ClassPin, our users, or others; to establish, exercise, or defend legal claims; or in connection with a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction.

6. Sale, Advertising, and Tracking

ClassPin does not currently use user-submitted documents or child profile information for targeted advertising.

ClassPin does not currently use advertising pixels such as Meta Pixel or similar behavioral advertising technology in the Service.

ClassPin does not currently sell personal information for monetary consideration.

If our practices materially change in the future, we will update this Privacy Policy and provide any notices, choices, or opt-out mechanisms required by applicable law.

7. Children's Privacy

ClassPin is intended for use by adults, including parents, guardians, and other adults who use the Service to organize family information.

Children under 13 are not permitted to create ClassPin accounts or independently submit personal information directly to ClassPin.

ClassPin does not currently provide separate child login accounts.

Adults may choose to upload documents or provide information relating to children under their care. Such information may include a child's name, school information, activities, dates, tasks, or other information appearing in submitted documents.

If we learn that ClassPin has collected personal information directly from a child under 13 in circumstances requiring parental consent under applicable law, we may take appropriate steps, including deleting the information where required.

8. Data Storage and Security

ClassPin uses third-party infrastructure providers to store and process information.

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

These safeguards may include authentication, access controls, private storage, database security controls, encrypted communications, restricted administrative access, and other security practices appropriate to the Service.

However, no internet-based service, transmission method, or storage system can be guaranteed to be completely secure.

Users are responsible for protecting their login credentials and maintaining appropriate security over devices used to access ClassPin.

9. Data Retention

We retain information for as long as reasonably necessary to provide and operate ClassPin, fulfill the purposes described in this Policy, maintain security, resolve disputes, comply with legal obligations, prevent fraud or misuse, and enforce our agreements.

Retention periods may vary depending on the type of information and the systems involved.

When information is deleted from ClassPin's active systems, copies may remain temporarily in backups, security records, logs, or third-party provider systems according to applicable retention schedules and legal requirements.

We do not promise immediate deletion from every backup, log, or third-party system.

10. Account and Document Deletion

Users may delete certain documents through available ClassPin functionality and may delete their ClassPin account through the account settings provided by the Service.

When an account is deleted, ClassPin is designed to remove the user's account information, associated ClassPin database records, and stored document files from ClassPin's active systems.

If the account has an active paid subscription, ClassPin attempts to cancel the associated recurring Stripe subscription as part of the account-deletion process. ClassPin maintains a limited billing-cleanup process designed to retry subscription cancellation when an immediate cancellation attempt cannot be completed.

Limited technical information necessary to complete that billing cleanup, such as payment-provider subscription or customer identifiers and cleanup status information, may temporarily remain after the ClassPin account itself has been deleted.

Stripe and other service providers may independently retain transaction, billing, security, compliance, or other records according to their own legal obligations and retention practices.

Deletion from ClassPin does not necessarily cause immediate deletion of information previously processed or retained by third-party service providers, infrastructure logs, or backups.

11. Cookies and Similar Technologies

ClassPin and its service providers may use cookies, browser storage, and similar technologies where necessary to:

authenticate users; maintain sessions; remember application settings; support application functionality; protect the Service; and maintain limited application preferences or state.

ClassPin does not currently use these technologies for third-party behavioral advertising.

If our use of cookies or similar technologies materially changes, we may update this Policy and implement additional notices or controls where required.

12. Your Privacy Choices and Rights

Depending on where you live and applicable law, you may have rights regarding your personal information, which may include the right to:

request access to certain personal information; request correction of inaccurate personal information; request deletion of certain personal information; obtain a copy of certain personal information; opt out of certain types of processing where applicable; and appeal certain decisions regarding a privacy request where required by law.

ClassPin also provides certain account controls that allow users to review, update, or delete information directly.

These rights are subject to applicable exceptions and limitations.

13. Third-Party Websites and Services

ClassPin may contain links to or integrate with third-party websites and services.

Third-party services operate under their own terms and privacy practices. ClassPin is not responsible for the privacy or security practices of third-party websites or services that are outside our control.

We encourage users to review applicable third-party privacy policies when appropriate.

14. International Processing

Some service providers that support ClassPin may process information in the United States or other jurisdictions.

As a result, information may be processed in a country or jurisdiction different from where you live and may be subject to the laws applicable in those locations.

15. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes to ClassPin, our technology providers, our practices, or applicable law.

When we update the Policy, we will update the "Last Updated" date above.

If changes are material, we may provide additional notice as required by applicable law.

Continued use of the Service after an updated Privacy Policy becomes effective is subject to applicable law and the notices provided by ClassPin.
